How To: Import data in bulk

If your data is already collected off of the system in spreadsheet format, you can quickly import it into the inventory using the bulk import functionality.

  1. Select the Import view from the sidebar menu

  2. Select the reporting period and activity category for which you wish to upload data.

  3. This flow follows the "By Keyword and Detail" factor mapping method, so leave that field as is.

  4. If required, select the input type (e.g. By Distance, By Location, etc). If you are using the templates provided, ensure that you select the corresponding sheet in step 6.

  5. Confirm that your data is in a format that can be understood by the import functionality.

    • The file is a .xlxs file

    • Each row corresponds with one data entry

    • Entries are all for the same activity category

    • The field names appear at the top of your data

    • The required fields are included (specific names are not required)

  6. Drag your file onto the file upload block or click to browse for it.

  7. The system will automatically detect where the data is in the sheet, populate the range accordingly, and then show a preview of the selected data below the form.

  8. If there are multiple sheets in the document, ensure that you have selected the correct one.

  9. If you wish to only import a subsection of the range, you can edit the auto-populated text using standard excel notation.

  10. Click the "Next" button to continue with the import process.

  11. In the second step, you will see a list of the imported headers, some data samples, and dropdowns containing the expected fields for the Activity Category selected in step 1.

  12. If the headers in the imported file match the expected field names exactly, then these will be mapped automatically.

  13. Assign any remaining unmapped columns to the appropriate field. Note the following:

    • All fields are optional, but missing data may result in the system not finding any emission factor for the incomplete row.

    • If left blank, Organizational Unit will be mapped to the top-level unit

    • If left blank, Period will be mapped according to the selected Reporting Period.

    • Unmapped fields can be added once imported

  14. Click the "Next" button and review the values to be imported.

  15. If there are unmapped fields or values that you have not imported before, you will be prompted to add or match values for them.

  16. Some fields have interdependencies, and each combination will need to be mapped. You may notice that your imported columns have been re-ordered to accommodate this.

  17. Each time you match a value (or combination) the system will store that mapping and the value will be automatically matched in future imports.

  18. Click on each warning and select the value that should be entered for the unmatched values or indicate that you do not wish to match it by selecting one of the following:

    • Original value - In some cases you might want to import a value without matching it to an expected option. Selecting "(Original value)" will import the value as free text which can then be viewed in the Inventory. Entries with free text values will not be automatically assigned emission factors.

    • Not required - You will see this option when a field is not required by the system, but there is a value for it included in your import file. Select "(Not required)" to replace the value with an empty cell.

  19. To see the value that was imported (before mapping), hover over the cell with your cursor.

  20. Click the "Next" button to continue.

  21. Use the checkboxes on the left of the table if you wish to only import a subset of the imported data.

  22. Enable the "Attach imported file" toggle if you wish to attach the data file to each entry that is created.

  23. Click the "Import # entries" button to finalise the import.

  24. Navigate to the inventory to view the imported data.
